Context

TEST Prospecting WizardTEST worked with the Marketing team to improve the number and quality of case studies used for Outbound Marketing, with a clear objective: improve the number of case studies scored 9 and above for Outbound Marketing. Prior to the project, the process for creating and approving case studies was slow, inconsistent, and produced many pieces that were not fit for outbound use. The organisation needed a reliable way to convert consultant experience into high-quality case studies that could be matched quickly to suitable leads and used to monetise consultant relationships.

Challenges

Before the project the Marketing team spent more than two weeks marketing unmarketable case studies, which delayed the ability to match each Architect (consultant) with a suitable lead. Those delays prevented the business from monetising consultants who were each capable of bringing a minimum of $2k per month. The existing case-study workflow suffered from inconsistent structure, variable language quality, and “language leaks” where technical nuance and commercial messaging were lost or miscommunicated. Because case studies had to be reworked repeatedly, outbound teams frequently lacked a steady stream of high-scoring assets, undermining outbound cadences and reducing conversion rates. This bottleneck constrained growth and left a pipeline of monetisable consultants idle.

Implementation

To address these problems, the team implemented an automated formula and templated approach that enabled consultants to produce case studies via a fill-in-the-blank format. Our Fractional Head of AI led the design of the template, which balanced structured prompts for business outcomes, technical details, measurable metrics, and quoted impact with guardrails to prevent language leaks and ambiguity. The template included pre-defined sections for challenge, approach, results, client quote, and required KPIs, plus selectable phrasing blocks that maintained outbound-friendly tone and compliance.

Automation was applied to scoring and gating: submissions were auto-evaluated against an outbound readiness rubric to identify items scoring 9 and above. Low-scoring entries triggered guided revision steps and micro-feedback to the submitting consultant, reducing back-and-forth with marketing and accelerating approvals. The workflow integrated with the outbound CRM and asset library so that once a case study passed the quality gate it was immediately available for lead matching and outbound sequences.

Training and change management accompanied the roll-out. Brief walkthroughs and one-page cheat sheets were provided to consultants, and marketing set a lightweight review SLA to keep throughput high. The combination of templating, automated scoring, and clear feedback loops reduced friction and made the process repeatable and scalable.

Results

The automated case-study system delivered measurable business outcomes. The number of case studies that met the outbound-quality threshold increased substantially, giving sales and outbound teams a reliable stream of assets scoring 9 and above. This improved matching speed between consultants and suitable leads, reducing time-to-first-engagement and enabling faster monetisation of consultant capacity.

As a direct consequence, the number of consultants signed up and converted through outbound efforts rose, and monthly revenue scaled from approximately $20k per month to $100k per month. The streamlined process removed the two-week bottleneck on low-quality assets, allowed consultants to self-serve production of high-quality case studies, and ensured outbound teams could launch timely, relevant campaigns. The change produced a step-change in efficiency and return on effort: marketing spend and effort per publishable case study dropped while conversion and revenue per consultant increased.

Overall, the project turned an inconsistent, time-consuming case-study pipeline into an automated, high-quality asset generator that directly supported growth targets and monetisation goals.
