Care Home Groups · Nursing Homes · Specialist & Domiciliary Care

Full beds.
Half the paperwork.

The AI operating system for care home groups: a typical home gets back ≈160 admin hours a month*, enquiries get answered the same day (and one extra occupied bed is worth ≈£50k+ a year), and CQC evidence stays ready every day — with no new hires. The care itself? AI never touches it. Your people get to focus on care; the paperwork gets done in a fraction of the time.

High-calibre, fast, and built for boutique budgets.

We’ve delivered AI inside regulated, safety-critical environments — including care delivered at national scale. And with some of the UK’s top AI leaders on the team, we know exactly which parts of running a home AI can take off your team’s desk — and which parts must stay with a qualified human.

  • AI pricing judgement aligned with expert practitioners 90% of the time — and took the firm to profitability. Published as a case study, not promised in a pitch deck.
  • 99%+ document extraction accuracy, under 5% human review — the engine behind our records, evidence and billing modules, proven in regulated environments.
  • Regulated healthcare AI scaled to 1m+ patients and thousands of clinicians — delivered under clinical governance, published as a case study.
  • 65% workload cut and 1,200% ROI delivered inside regulated financial services — measured, published, repeatable.
  • 103 published AI case studies, many within healthcare, care and regulated sectors — delivered by our Head of AI network.
  • Special-category health data handled properly — sealed environments, no training on resident data, audit trails and DPAs as standard, designed in from day one.

Watch the grind melt away.

One operating system covering the whole life of a home — from first enquiry to funding and reporting — plugged into the systems you already use, and bought one module at a time.

Pick the one step that hurts your firm most. That’s where we start.

Add it all up — per home, per month

250 hrsadmin per home, today
250 hrswith AI built in

That’s ≈160 hours a month returned per home — a full-time coordinator you didn’t have to hire.* And the two levers that pay for everything sit in modules 01 and 06: enquiries answered same day fill beds, and rota foresight shrinks the agency bill. Note what never melts: AI doesn’t deliver care, and it doesn’t decide care. It writes the paperwork about the care — the qualified judgement, the safeguarding decisions and the human touch stay exactly where they belong.

*The working, because you’ll check it. A typical 40-bed home carries ~250 hours a month of documentation and admin outside direct care — care plan reviews, notes administration, compliance evidence, training records, rotas, family updates and billing. (The module cards show single-pass times; a real month multiplies several of them across residents, staff and shifts.) With the modules live we plan on ~90 — deliberately cautious, and every hour of direct care stays untouched by design. Occupancy and agency gains vary too much by home to promise on a page: we baseline each home’s real numbers before anything switches on, so the claim you act on is yours, not ours.

Proven in your own homes first.

No leap of faith. Evidence first, go-live second.

Pick your biggest pain

Book the free 30 minute Discovery Call. We work out your numbers live — the admin hours each home could get back, the occupancy and agency levers — and identify the best module to start with.

2

Watch your twin at work

We build each module in a working copy of your process — a digital twin — running quietly alongside the real running of a home. Staff involvement is a few hours of conversations, not a change programme: care carries on untouched. And switching on is simple, because by then the module has already been doing the job on your own home’s paperwork for weeks.

3

Working prototype in ~30 days

Your named team — Head of AI, Implementation Team and Trainer — configures the module to your templates, house style and systems, trains your people, and hands over with a quick-start guide. Worth knowing: what’s live at this stage is a working prototype — fully built and tested on your own homes, but still version one. We refine it based on real day-to-day use before it becomes a permanent, production part of your workflow. Then the next module — only if the first one proved itself.

Every module delivered by your Mini AI Department.

A bit of leadership, a bit of implementation, a bit of training. Every module comes with all three.

We stay with you.AI is moving quickly — the tools get better every month. Your team keeps configuring, updating and improving your workflows over time, so your modules get sharper each year rather than going stale.
We’re not tied to any one AI company. We’re model agnostic — in plain English, we always use whichever AI does the best job at the lowest running cost, and swap it behind the scenes when something better comes along. You never have to think about it.
How implementation works. We manage delivery end-to-end through our specialist implementation partner – scoped and quoted once your module is defined, and agreed directly with you.

You COULD do this yourself. But don’t say we didn’t warn you…

10 reasons why it’s best to leave your AI build to the experts.

MIT found that 95% of gen AI projects fail to make any dent in the bottom line. Not because the AI was bad. Because it never got properly wired into how the business actually works. That’s the bit we do.
  • Your managers’ hours are worth more. Every hour a registered manager spends wrestling with AI tools is an hour off the floor — and manager burnout is already the sector’s quiet crisis.
  • Prompts are the free bit. Wiring AI into your systems, templates and house style is the hard bit. That’s engineering, not typing.
  • The tools change weekly. Best model for care plan drafting this quarter? Cheapest to run? We track it daily so you never have to.
  • Resident data is health data. Special-category under UK GDPR — one paste into the wrong tool on the wrong settings isn’t a policy breach, it’s a reportable incident.
  • AI is confidently wrong just often enough to hurt. A care plan that misses what matters isn’t a reputation problem — it’s a safeguarding one. Qualified sign-off has to be built in, not bolted on.
  • DIY dies at 70% done. A clever demo that never becomes a daily tool, because the last mile is the hard mile.
  • Nobody to call. When it breaks the morning CQC walks in, DIY means you’re the support desk.
  • The costs hide. Five subscriptions, creeping API bills, partner hours, abandoned builds. DIY usually costs more than we do.
  • Adoption is the real battle. Half of AI failure is people quietly not using it. Training and trust don’t come in a download.
  • You’d have no proof. No baseline, no evidence it worked. We measure your firm before and after, and switch nothing on until it beats your team.

Questions care operators ask us.

How much admin time does AI save a care home?

A typical 40-bed home carries around 250 hours a month of documentation and admin outside direct care — care plans, daily notes, CQC evidence, training records, rotas, family updates and billing. With our AI modules, plan on around 90. That’s ≈160 hours a month back per home — a full-time coordinator you didn’t have to hire — with every hour of direct care untouched.

Does AI deliver or decide care?

No — never, and by design. AI writes the paperwork about the care; your people deliver it. Every care plan is reviewed and signed by a qualified nurse or senior, every safeguarding judgement stays human, and nothing enters a resident’s record unreviewed. Drafting is automated. Deciding never is.

Will implementing AI disrupt our homes?

Barely. We build each module inside a digital twin — a sealed, parallel copy of your workflow fed by a read-only, one-way sync of your data. Your homes run exactly as usual while the twin runs in shadow; staff input is a few hours of conversations, not a change programme. A module only switches on when it beats the home’s baseline, and you adopt them one at a time, home by home, at your pace.

Is resident data safe?

Resident records are special-category health data and we treat them accordingly. The twin environment is sealed, the data sync is read-only and one-way, no resident data trains public models, every output carries an audit trail, and nothing writes back to your systems until a module graduates. UK GDPR health-data requirements and data processing agreements as standard — designed in, not retrofitted.

How quickly can our first module go live?

Typically 30 days from the Discovery Call to a working prototype, for most modules. It’s a fully working version built and proven on your own homes — not yet the polished, production-ready version, which we refine afterwards based on real day-to-day use. Each module is configured to your templates, house style and systems, with your team trained before handover.

We run a group of homes — does this scale?

That’s the design. Modules are built once, proven in one home against its own baseline, then rolled out home by home as configuration, not new projects. For groups — and for their investors — one playbook covers the whole portfolio, and every additional home switches on faster and cheaper than the last.

What if a module doesn’t deliver?

It doesn’t go live. Every module is proven against the home’s own baseline on real day-to-day running before it switches on — that’s the point of the twin. You see the evidence first; the risk of proving value sits with us.

Figures shown for time savings, capacity, client work and fee income — including per-module before and after times — are modelled projections based on our delivery experience and published case studies. They are illustrative only and not a forecast, guarantee or commitment: results vary from firm to firm depending on workflows, data, systems, team and market conditions. Where we work together, targets are baselined against your firm’s own numbers before any module goes live.

*The ≈160 hours, working shown: a typical 40-bed home carries ≈250 hours a month of documentation and admin outside direct care — care plans and monthly reviews, daily notes, CQC evidence, training and supervision records, rotas, family updates and billing. With the modules live and your people reviewing every output, plan on ≈90. 250 − 90 = ≈160 hours returned per home, per month — roughly one full-time coordinator (37.5 hours a week ≈ 160 a month). These are modelled projections, not guarantees: we baseline your home’s real numbers before any module switches on.
